Looking to automate which fleets are assigned to your loads? The Auto-Assign Loads feature in Alvys allows you to match your loads to specific fleets based on the assets assigned, helping to save an extra step and reduce potential errors.
✅ User Roles with Access: Users with access to Management and Fleets settings (e.g., Admin, Office Admin, Fleet Manager).
Summary: This feature automates the process of assigning a load to a specific fleet. When enabled, Alvys will look at the fleet associated with the assigned truck, trailer, or driver on a load and automatically apply that fleet to the load. Additionally, you can set a default fleet for loads covered by external carriers.
How to Set Up Auto-Assign Fleets to Loads
Follow these steps to enable and configure fleet auto-assignment:
Navigate to Fleets Management:
Locate the Auto-Assign Banner:
Choose an Asset Fleet Matching Rule:
Choose a Default Fleet for External Carriers (Optional but Recommended):
In cases where the load is covered by an external carrier (meaning it's not assigned to one of your internal assets), Alvys needs a default fleet to assign for reporting purposes.
Recommendation: We recommend creating a fleet specifically for "External" carriers (e.g., named "External" or "Brokerage Loads") and then selecting that one here.
Confirm Activation:
How it Works After Setup
Once enabled:
When you assign a truck, trailer, or driver to a load, Alvys will automatically attempt to assign the load to the fleet that asset belongs to.
If the load is assigned to an external carrier (not one of your internal assets with a linked fleet), the system will apply the "Default fleet for external carriers" you configured.
How to Disable Automation
If you need to turn off the Auto-Assign Loads feature:
Navigate to Fleets Management: Go to Management > Fleets.
Click "Edit" on the active "Auto-assign loads" banner.
Disable the Automation: Within the edit screen, locate the option to disable the automation (e.g., a toggle or button).
Save Changes: Click "Save" to apply the deactivation.
Frequently Asked Questions (FAQ)
Q: What if an assigned asset doesn't have a fleet assigned to it? A: If the truck, trailer, or driver assigned to a load doesn't have a fleet associated with it, the auto-assignment feature won't be able to match the load to a fleet via that asset. In such cases, you might still need to manually assign a fleet to the load, or ensure all your assets are properly assigned to fleets.
Q: Can I manually override the auto-assigned fleet on a load? A: Yes, the auto-assignment feature is designed to automate the initial step. You can still manually change the assigned fleet on a load if needed after it has been auto-assigned.
