Managing a Load

Managing loads is a lot of work. Alvys is here to simplify that process and keep everything organized for you!

Managing a load in Alvys means overseeing every operational detail from pickup to delivery, and occasionally handling exceptions like TONU (Truck Ordered Not Used). This guide walks you through the Load Management ribbon, how to track progress, and what to do when plans change.

The Load Management Ribbon

The Load Management ribbon sits inside each load, just below the Carrier Details panel on the right-hand side. It houses your core load controls. We’ll explore what each button does below.

View Map Click Map to open the trip route visually.

Add Notes Use Notes to record custom details for your load.

Upload Documents Click Docs to manage all related documents. You can upload rate cons, BOLs, and more.

  1. Click the Add a File button

  2. Choose the file or drag it into the modal

  3. Select the file type and click Upload

💡Make sure to upload revised documents (like an updated rate confirmation) if your load changes, such as in TONU situations.

Input Check Calls Click Check Calls as the load progresses through stages.

Add Stop Use Add Stop to insert any unexpected changes in routing.

Tender Options Click Tender to access load tendering features like generating the BOL or Load Manifest.

Optimize Trip Use Optimize to rearrange stops or split a trip.

Marking a Load as TONU

If a load is canceled after being assigned but before delivery, you may need to mark it as TONU (Truck Ordered Not Used).

Steps to Mark as TONU

  1. Open the load via the Global Search bar (by load #, trip #, or broker order #)

  2. Click Manage on the Load Management ribbon

  3. Select TONU from the dropdown

  4. Confirm when prompted

💡 TONU is only available for loads with assets assigned and not yet delivered. The load must be in statuses like Covered, Dispatched, or In Transit with the first stop marked as Picked Up.

Adjust Stop Status

Update the stop status depending on what occurred in real life:

  • Arrived if the driver reached the shipper

  • Covered if the driver never made it

Update Money Box

  1. Update Customer Freight Amount – adjust the amount paid by the broker

  2. Update Carrier Line Haul – adjust what the carrier should receive

  3. Update Driver Trip Value – for internal carrier payout

Release to Billing

Once all updates are made and the load shows TONU status, click Manage again and choose Release to hand it off to your billing team.

FAQs

Q: What happens to loaded miles when a load is marked as TONU?

A: Loaded miles are automatically zeroed out since the trip wasn’t completed.

Q: Can I mark a load as TONU after delivery?

A: No. TONU can only be applied before the load is marked delivered.
