How to issue an E-check

E-checks (also called Comcheks or money codes) are digital payment instruments issued directly from a load to give a driver or carrier immediate funds. This article covers issuing, searching, and setting limits for e-checks.

Overview

Alvys integrates with EFS and Comdata to let dispatchers and operations managers issue electronic payments (e-checks, also known as Comcheks or money codes) against active loads without leaving the TMS. An e-check generates a payment code the driver or carrier redeems at participating fuel stops and truck stop locations. You can also set per-driver and per-user spending limits to control amounts.

Before You Start

You must have the "Comchek" permission to issue e-checks. An active EFS or Comdata integration must be configured on your company account. The trip must have progressed beyond Open, Reserved, Quoted, or Cancelled status before the issue button becomes active.

Steps

  • Open the load. Navigate to the load on which you want to issue an e-check and open the load details page.

  • Open the e-check panel. Scroll to the Money Box section. Click Manage E-Check. Alternatively, right-click the load on the Load Board and select Issue E-Check.

  • Select the driver recipient. In the Manage E-Check panel, search for and select the driver or carrier who will receive the payment.

  • Enter the amount. Enter the payment amount. Confirm this is within the driver's e-check cap and within any user-level cap set on your account.

  • Select the reason. Choose the reason for the e-check (for example: Fuel Advance, Lumper Fee, Cash Advance). Available reasons depend on your company's configuration.

  • Choose the provider. If your company has more than one e-check integration active, select EFS or Comdata as the provider for this payment.

  • Add a reference (optional). Enter a reference note to associate with this e-check record. This is optional but useful for reconciliation.

  • Generate the e-check. Click Generate. The e-check is created, a payment code is issued, and the e-check appears as a line item in the load's Money Box.

Result

The driver or carrier receives a payment code to redeem at authorized locations. The e-check is logged in the load's activity history. To view all e-checks issued across loads, navigate to Accounting > E-Checks (requires the "ECheckFee" permission to access that page).

Variations

Setting driver e-check limits: Navigate to the Drivers list, locate the driver, open their profile, scroll to E-Check Settings, set the E-Check Percentage and E-Check Cap, and save.

Setting user-level e-check caps: Navigate to Management > Company Profile > Users tab, locate the user, and update the E-Check Cap field. The default cap is $500. Save to apply.

Searching all e-checks: From Accounting > E-Checks, use the search fields (Money Code, Date Range, Driver, Load Number, Amount, Reason) to find specific e-checks. Click a result to open the associated load.

Troubleshooting

Manage E-Check button is not visible on the load

  1. Verify the "Comchek" permission is enabled on your user profile. If it is not, contact your administrator to have it added.

  2. If the permission is already enabled and the button is still not visible, verify that an active EFS or Comdata integration is configured on your account.

Manage E-Check button is visible but inactive

Check the trip status. The button is inactive when the trip is in Open, Reserved, Quoted, or Cancelled status. Update the trip status beyond these statuses and try again.

Driver does not appear in the recipient search

Confirm the driver is assigned to this load before attempting to issue the e-check.

FAQs

Q: Can I cancel an e-check after it has been issued?

A: Yes, if the e-check has not yet been used or cashed. Open the Manage E-Check panel on the load and select Cancel E-Check from the action menu. Canceling requires the "CancelComchek" permission. An e-check that has already been redeemed cannot be canceled.

Q: Can I move an e-check to a different load?

A: Yes, using the Move Comchek action (requires the "MoveComchek" permission). The same driver must be assigned to the destination load. Moving to a different driver is not supported.

Q: Where can I search for all e-checks issued?

A: Navigate to Accounting > E-Checks. Access requires the "ECheckFee" permission.

Q: What is the default e-check cap per user?

A: $500. Admins can update this in Management > Company Profile > Users.
