EDI Auto Update Settings

Step-by-step instructions for enabling and customizing automatic EDI updates for location, appointments, arrivals, departures, and ETA. Use it to ensure timely, accurate status sharing with your EDI-enabled shippers.

Overview

The Auto Update Settings in Alvys control when and how EDI updates (such as 214s for location, arrival, departure, appointments, and ETA) are automatically shared with your shippers.

These settings live on each customer’s Company Profile and let you fine-tune what gets shared, when, and based on what data sources.

How to access Auto Update Settings

  1. Go to the customer’s Company Profile in Alvys.

  2. Look for the Auto Update Settings section in the right-hand sidebar.

  3. Click it to open the settings modal.

Location Updates (Heartbeat / EDI 214)

Enable this to allow automatic location updates (a.k.a. heartbeats) to be sent via EDI.

Choose where the location data comes from:

  • Alvys Check Calls

  • ELD Integrations (for example Samsara, Motive, Geotab)

  • Alvys Driver App

  • Inbound Tracking Integrations (for example MacroPoint, Project44)

The system will only send location updates from selected sources.

Specify at which load statuses the system should send location updates:

  • Dispatched or Covered

  • Dispatched AND First Stop Arrived

  • In Transit

  • Delivered

These options can be selected in combination.

Decide how often to send location updates (every 5 minutes to 1 day). This sets the interval at which EDI 214s will be shared.

Appointments

Enable this to send appointment EDI updates.

  • On Load Accepted: Sends appointment EDI immediately when the load is accepted.

  • On Stop Updated: Sends EDI only when the appointment time is updated at a stop.

📌 Use “On Stop Updated” if appointment times are confirmed separately after load acceptance.

Arrivals

Enable this to auto-send EDI arrival updates when a truck arrives at a stop.

  • Send Late Arrivals Automatically: Enable this to auto-send even if the truck is late.

  • Requires selecting a Late Reason Code.

  • Grace Period: Enable this to “soften” what counts as late.

  • Set a grace window (15 minutes to 2 hours).

  • Select a Reason Code for on-time treatment within this window.

Departures

Enable to auto-send EDI departure updates when the truck leaves a stop.

Same logic as Arrivals:

  • Send Late Departures Automatically (with reason code)

  • Grace Period (with reason code and interval selection)

Estimated Delivery (ETA)

Enable to automatically send ETA updates.

Choose how often to send ETA updates (every 5 minutes to 1 day).

  • On ETA Updated: Sends update when ETA changes.

  • On ETA Late: Sends when ETA is after appointment time.

  • Requires a Reason Code selection.
