Overview
When updating stop statuses, you can record both your operational arrival and departure times and the timestamps that are shared via EDI. This approach keeps your operational record intact while streamlining what gets communicated to shippers, making stop management faster and more accurate.
Update Stops with EDI Fields
Whenever you change a stop's status like Covered to Arrived, Arrived to Picked Up, or Covered to Empty, additional fields will appear. You'll see Arrival or Departure Date & Time for your operational record used inside Alvys, Share Arrival or Departure Date & Time for the timestamp sent to the shipper via EDI, and a Reason Code pre-populated with Normal Status but adjustable if needed.
The fields interact in a specific way to protect your data. Updating the actual time automatically refreshes the shared EDI time, but updating the shared EDI time does not change the actual time. This ensures your operational record remains accurate while keeping EDI communication consistent and flexible.
Arrive at a Stop
Change the status to Arrived and enter the Arrival Date & Time. Review the Shared Arrival Date & Time for EDI, adjust if needed, and confirm the Reason Code before clicking Save.
Depart from a Stop
Change the status to Picked Up or Empty for a delivery, then enter the Departure Date & Time. Review the Shared Departure Date & Time for EDI, adjust if needed, and confirm the Reason Code before clicking Save.
Skip Directly to Pickup or Empty
If you skip from Covered to Picked Up or Covered to Empty, both arrival and departure fields appear together. Enter the actual times for arrival and departure, review or adjust the shared EDI times, and save.
Important Notes
These new fields appear only on EDI-enabled loads, and waypoints are not part of EDI updates. Grace periods and default late reason codes come from your integration's configuration, and operational times are always kept separately from shared EDI timestamps.
