Adding and Managing Notes on Loads

Learn how to quickly add notes to a load from the Load Details Page or the Load Board

Keeping track of important details related to your loads is easy with the Notes feature. This tool allows you to quickly attach notes to any load, providing reminders, special instructions, or updates for your team in just a few clicks.

Summary: The Notes feature provides a simple and efficient way to add, view, and manage specific textual information directly associated with a load. You can access the notes panel from two primary locations: directly within a the Load Details Page or quickly from the Load Board using a right-click.


How to Add and Manage Notes

There are two main methods to add or view notes on a load in Alvys:

Method 1: Adding Notes via management ribbon Notes button (From Load Details Page)

Use this method when you are already viewing the detailed information of a specific load and wish to add or review its notes.

Step-by-Step Instructions:

  1. Open the Load: Navigate to and open the specific load you want to add a note to. This will take you to the Load Details Page.

  2. Locate the Management Ribbon: Find the ribbon that displays buttons at the top and bottom of the Stops Section (normally bottom right side of page if navigating from a computer).

  3. Click on the Notes button: Click the dedicated "Notes" button within the Management Ribbon.

  4. Enter Your Note: A notes panel will appear on your screen. In this panel, you can type in your new message. You will also see any existing notes associated with this load.

  5. Save Your Note: Once you have finished typing your note, click the "Add Note" button within the notes panel. This action will attach your note to the load.

Method 2: Adding Notes from the Load Board (Quick Access)

This method is ideal when you are working from the Load Board and need to quickly add or view notes for a load without fully opening its details page.

Step-by-Step Instructions:

  1. Navigate to the Load Board: Go to the Load Board where your comprehensive list of loads is displayed.

  2. Locate the Load: Find the specific load you want to add a note to within the list.

  3. Right-click on the Load: Right-click anywhere on the row of the desired load. This will open a contextual options menu.

  4. Select View Notes: From the dropdown options menu, select "View Notes."

  5. Enter or Edit Your Note: A notes panel will appear, similar to Method 1. This panel allows you to type in a new message or make changes to existing notes for that load.

  6. Save Your Note: After entering or editing your note, click the "Add Note" button to ensure your changes are attached to the load.

Frequently Asked Questions (FAQ)

Q: Can I edit a note after I've saved it? A: No, you cannot edit existing notes through either Method 1 or Method 2 described above. However, you do have the ability to remove a note and then add a new one!

Q: Are notes visible to drivers or external customers? A: The Notes feature is designed for internal team communication. Notes added here are typically visible only to users within your organization and are not automatically shared with drivers via the mobile app or with external customers via public tracking links or documents.
