Overview
Balance-based deductions allow you to set up recurring deductions using a starting balance and maximum amount instead of fixed end dates or occurrence limits.
This is useful for managing long-term deductions such as loans, trailer rent, or equipment payments.
Once configured, deductions are applied automatically until the balance is fully paid.
When to Use This
Use balance-based deductions when:
A driver owes a fixed total amount
Payments should occur on a regular schedule
You do not want to manage end dates manually
Drivers need visibility into remaining balances
Common examples include:
Trailer or equipment rental
Driver loans
Insurance advances
Training reimbursements
Prerequisites
Before setting up a balance-based deduction:
The driver must be active
The deduction category must support recurring schedules
You must have permission to manage deductions
How to Set Up a Balance-Based Deduction
Open the Deductions tab
Click Add Deduction
Select a deduction category
Set the frequency (weekly, biweekly, etc.)
Enter the following fields:
Maximum Amount – Total amount owed
Starting Balance – Amount already paid (if applicable)
Payment Amount – Amount deducted each period
Click Save
How It Works
When balance-based fields are configured:
Deductions are applied based on the payment amount and frequency
The remaining balance is updated after each statement
Deductions stop automatically when the maximum amount is reached
End date and occurrence fields are disabled
The system tracks progress toward the total balance automatically.
Showing Balances on Driver Statements
You can choose to display the remaining balance on driver statements.
When enabled:
The balance appears even if no deduction is taken
Drivers can always see what they owe
Fewer balance-related support questions
To enable this:
Open the deduction on the driver
Turn on Show current balance on statements
Save changes
Viewing Balances in the Deductions List
The Deductions tab includes balance-related columns:
Maximum Amount
Starting Balance
Remaining Balance
This allows you to review deduction status at a glance.
Example
A driver rents a trailer for $50,000.
Maximum Amount: $50,000
Starting Balance: $10,000
Payment Amount: $1,000
Frequency: Weekly
Each week, $1,000 is deducted until the remaining balance reaches $0.
Common Questions
What happens if no deduction is taken on a statement?
If balance visibility is enabled, the balance still appears with no change.
Can I use this for one-time deductions?
No. Balance-based deductions are designed for recurring payments.
