Request Detention Email

With this feature, users can easily send emails to customers requesting payment for detentions.

Need to bill detention quickly? In Alvys, the Request Detention button makes it simple to generate and send a detention request email right from the load screen. By configuring default emails first, you ensure that every request goes to the right place with minimal manual editing.

Step 1: Set Up Default Detention Emails

Before you can send detention emails easily, you’ll need to set your default email addresses. These defaults tell Alvys who the detention request should come from and who should receive it.

  1. Navigate to Email Management.

  2. Find the Detention section.

  3. Fill in:

    • From: Choose if emails should be sent from:

    • Default – uses [email protected]

    • User – uses the email of the person logged into Alvys

    • Custom – enter any valid email address (given that you set up your custom domain)

    • To: The main recipients of detention requests

    • CC: Any stakeholders to copy on every detention request

      📝 Tip: Setting these once saves time later, especially when requests happen daily.


Step 2: Sending a Detention Request

After the driver has checked out at a stop (or once a stop is marked as Pickup or Empty), the Request Detention button appears.

  1. Click Request Detention.

  2. An email draft window opens, pre-filled with:

    • From: Detention From email for the Invoice As subsidiary

    • To: Customer operations team email and Detention To email from Email Management

    • CC: Detention CC email from Email Management

  3. Check or update the Total time spent at location, shown as the difference between arrival and departure times (HH:MM format).

  4. (Optional) Attach supporting documents (BOL, POD, etc.).

  5. Enter the detention amount and adjust any text if needed.

  6. Click Send Email.
